We’re looking for a Senior Executive Assistant (EA) to support our CEO and wider leadership team. This role is critical to helping our leaders operate at their best removing friction, managing calendars and travel, and driving forward key administrative and coordination tasks. You’ll report to our Head of People, Alex, and work closely across the business to ensure things run smoothly behind the scenes.

This is a high-trust, high-impact role that sits at the center of the business. As a founding hire, this role offers significant opportunity for growth and increased responsibility as the company scales.

Missions

Here are your key responsibilities:

1 - Executive Support

  • Manage the CEO’s calendar, travel, meetings, and expenses

  • Provide briefings and background for key meetings

  • Handle external communication on behalf of the CEO (e.g. emails, LinkedIn, investor/vendor inquiries)

  • Maintain confidentiality and anticipate needs proactively


2 - Operational Coordination & Projects

  • Track key deliverables and support project execution

  • Prepare presentations, reports, and internal documents

  • Coordinate board meetings, investor updates, and offsites

  • Organize team meetings and cross-functional events

3- Process Ownership & Admin

  • Own and improve internal processes: travel, expenses, vendor tools

  • Act as point of contact for travel systems and related vendors


4 - People & Culture Collaboration

  • Work with People & Ops to support internal initiatives

  • Help coordinate company-wide meetings and team offsites


Requirements

Must-have

  • Based in Europe: You live in Europe and have experience working with globally distributed teams.

  • Proven EA Experience: 5+ years supporting senior leadership, ideally in fast-paced or high-growth environments.

  • Strong Communicator: You're emotionally intelligent, and an excellent communicator—both written and verbal.

  • Organized & Proactive: You thrive on bringing structure to chaos and take initiative without being asked.

  • Tech-Savvy: Comfortable with AI tools and modern productivity software.

  • Language Skills: Fluent in English; German is a plus, but not required.

  • Independent & Reliable: You’re self-motivated, dependable, and confident working autonomously.
